Thank you for choosing Seven Senders / claim.me for the electronic signing of the Declaration of Recipient (DOR). This disclosure is intended for Seven Senders business customers who integrate our signature solution and share the signing link with their own customers (hereinafter “consumers”). It outlines the legal effect of electronic signatures, technical requirements for consumers and your legal responsibilities under the GDPR, the eIDAS Regulation (EU) No 910/2014, and other applicable laws.
Legality and Binding Effect of Electronic Signatures
Our platform supports the use of Simple Electronic Signatures (SES), which are generally appropriate for documents such as the Declaration of Recipient (DOR), as there is no statutory requirement for a handwritten signature in this context. SES offers a user-friendly and efficient solution for low-risk use cases and is typically sufficient for non-receipt declarations in insurance-related claims processes.
Pursuant to Article 25(1) of the eIDAS Regulation (EU) No 910/2014, an electronic signature shall not be denied legal effect and admissibility as evidence in legal proceedings solely on the grounds that it is in electronic form or does not meet the requirements for qualified electronic signatures.

Data Protection and Privacy
We process electronic signatures and related data in accordance with the GDPR and other applicable data protection laws. We implement appropriate technical and organisational measures to ensure data security and compliance.
You, as the data controller under the GDPR, are responsible for ensuring that personal data is lawfully collected and shared with us for processing. In the context of the Declaration of Recipient (DOR), the processing of your consumers’ data will typically be based on Art. 6(1)(b) GDPR, as it is necessary for the performance of a contract — namely, to verify non-delivery and process the associated resolution (e.g., replacement or refund).
Where you additionally rely on legitimate interest under Art. 6(1)(f) GDPR — for instance, for fraud prevention or documentation purposes — please note that under Art. 13(1)(d) GDPR, you are required to inform your consumers about the specific legitimate interest pursued. This information must be provided directly and in a transparent manner — e.g., in the email or communication in which you share the signing link. A general reference to a privacy policy may not be sufficient under current case law.
As an illustrative example, the following wording or a derivation thereof could be used when informing your consumers:
“To help clarify the status of your delivery, we kindly ask you to complete a Declaration of Recipient (DOR). This helps us document the incident and support the resolution process. Your data is processed for the performance of the contract (Art. 6(1)(b) GDPR), and where applicable, for our legitimate interests in documenting delivery issues and preventing misuse (Art. 6(1)(f) GDPR). Without this documentation, the processing of your claim may not be completed.”

Retention of Documents
Once a DOR has been signed, a copy of the signed document is automatically sent to you (the merchant) via email. You may access and store this copy in accordance with your internal retention policies.
Consumers have the option to download the signed document directly from the signature page (sign.claim.me/) for up to 30 days after signing. After this period, access to the document expires and the download link is no longer available.
Signed documents are retained on our platform in accordance with our internal retention policies. Please inform your consumers of your own retention practices and ensure they receive or retain copies as needed.
System Requirements
To use our electronic signature service, your consumers must have:
A stable internet connection
A valid email account
A device capable of accessing, opening, and reading electronic documents
